【113學年第2學期-課外活動組所轄場地】– 申請活動場地及開放注意事項公告/Second Semester of 113 Academic Year - Venues under the jurisdiction of the Extracurricular Activities Division – Announcement of Application Venues and Opening Precautions

一、申請注意事項:

1.各社團/系學會欲舉辦活動借用課外活動組所轄場地,請社長/系會長登入學務資訊系統辦理申請作業。

2.如須連續借用3日以上之大型活動已提前規劃完成之活動,請於活動日前至少3個月場地借用申請單活動企劃書(紙本資料共2份如附件)一併送至課外組送審保留場地,逾期將依照系統借用。

3.若未於活動日前3個月提出活動申請之單位,將視同放棄場地預約資格,活動場地申請依照本組申請作業流程辦理。

4.借用非課外組所轄場地辦理活動,須先確認場地單位使用狀況,確認後至學務資訊系統辦理申請作業。

 

二、公共空間暨收費場地,開放申請借用如下:

1.開放線上系統借用:開放場地依學務資訊系統為主

2.開放期間:114年2月1日至114年7月31日

3.開放時間:週一至週日8時至22時 (寒暑假期間開放時間調整為:週一至週五8時至17時)

4.各場地開放情形及借用流程請參考本組網站公告

5.公共空間免費開放區域:雲平樓B1居學園、雲平樓B1鏡廊


三、社團辦公室開放時間如下:

週一至週日:上午8時00分至晚間23時30分 (寒暑假期間開放時間調整為:週一至週五8時至17時)

★如發現未經同意擅自逗留或使用場地者,違規者依本組辦法處理!

 

四、申請課外活動需遵照借用流程辦理,繳交以下文件:

1.課外活動申請表(請登入學務資訊系統→校內外活動申請→活動/場地申請→社團活動申請狀態→列印)

2.活動企劃書(範本如附件,請自行下載修改填寫)

3.如活動場地涉及收費須繳費,請等候本組通知,將繳費單至本校出納組(行政大樓2樓)完成繳費後、並將費證明紙本主動投遞至課外組收件信箱,以利後續借用流程辦理,並確認已完成場地核准後再行公告活動內容,如企劃書發現有偽造或欺騙行為經確認屬實將依校規懲處。

★如舉辦校外活動需額外繳交以下資料:

1.旅行平安保險文件(影本)

2.租用合法遊覽車合約書(課外活動組網頁→表格下載→其他表單)

3.校外活動注意事項切結書(課外活動組網頁→表格下載→其他表單)

 

I. Application Guidelines:

  1. To apply for the use of venues managed by the Extracurricular Activity Group, the president of the club or department must log in to the Student Affairs Information System to complete the application process.

  2. For large-scale events that require venue use for more than three consecutive days, or events that have been planned in advance, please submit the venue application form and the event proposal (two paper copies, as per the attachment) to the Extracurricular Activity Group for review at least three months before the event. Failure to submit on time will result in venue allocation based on the system's application process.

  3. Units that fail to submit their event application at least three months prior to the event will forfeit their eligibility for venue reservation. Venue applications will be processed according to the application procedures outlined by this group.

  4. For events held at venues not managed by the Extracurricular Activity Group, please first confirm the availability of the venue and, once confirmed, submit the application via the Student Affairs Information System.


II. Public Spaces and Fee-Based Venues – Application Guidelines:

  1. Online System Application: Available venues are subject to the Student Affairs Information System.

  2. Application Period: From February 1, 2025, to July 31, 2025.

  3. Available Hours: Monday to Sunday, from 8:00 AM to 10:00 PM (During summer and winter breaks, available hours are adjusted to Monday to Friday, from 8:00 AM to 5:00 PM).

  4. For details on available venues and the application process, please refer to the announcements on the group's website.

  5. Free Public Space Areas: Yunping Building B1 Residential Area and Yunping Building B1 Mirror Corridor.


III. Club Office Hours:

Monday to Sunday: 8:00 AM to 11:30 PM (During summer and winter breaks, office hours are adjusted to Monday to Friday, from 8:00 AM to 5:00 PM).

★ Any unauthorized stay or use of the venue will be dealt with according to the group’s regulations.


IV. Required Documents for Extracurricular Activity Application:

  1. Extracurricular Activity Application Form (Please log in to the Student Affairs Information System → Internal/External Activity Application → Activity/Venue Application → Club Activity Application Status → Print).

  2. Event Proposal (Template available in the attachment; please download, modify, and complete the form).

  3. If the event involves venue charges, please await notification from the group. After receiving the payment instructions, make the payment at the university's cashier office (2nd floor, Administrative Building). Once payment is completed, submit the payment receipt to the Extracurricular Activity Group's mailbox to facilitate the subsequent application process. Ensure the venue is approved before announcing the event. Any fabricated or fraudulent proposals will result in disciplinary action according to school regulations.

For off-campus activities, the following additional documents are required:

  1. Travel Insurance Document (Copy).

  2. Contract for Rental of Legal Tour Bus (Available on the Extracurricular Activity Group’s website → Form Downloads → Other Forms).

  3. Off-Campus Activity Liability Waiver (Available on the Extracurricular Activity Group’s website → Form Downloads → Other Forms).
