【113學年第1學期-課外活動組所轄場地】– 申請活動場地及開放注意事項公告/First Semester of 113 Academic Year - Venues under the jurisdiction of the Extracurricular Activities Division – Announcement of Application Venues and Opening Precautions

一、申請注意事項:

1.各社團/系學會欲舉辦活動借用課外活動組所轄場地,請社長/系會長登入學務資訊系統辦理申請作業。

2.如須連續借用3日以上之大型活動已提前規劃完成之活動,請於活動日前至少3個月場地借用申請單活動企劃書(紙本資料共2份如附件)一併送至課外組送審保留場地,逾期將依照系統借用。

3.若未於活動日前3個月提出活動申請之單位,將視同放棄場地預約資格,活動場地申請依照本組申請作業流程辦理。

4.借用非課外組所轄場地辦理活動,須先確認場地單位使用狀況,確認後至學務資訊系統辦理申請作業。

 

二、公共空間暨收費場地,開放申請借用如下:

1.開放線上系統借用:課外活動組所轄場地雲平樓將於111年12月24日至113年5月30日進行南入口景觀及雲平樓整建工程案(目前待工程驗收),工程期間課外組所轄場地僅部分開放如下:

(1)圓廳3F:圓廳302、圓廳303

(2)惠蓀堂B1:南廣、北廣

(3)小禮堂

(4)雲平樓:草地廣場、雲平樓F2、F6、F10(社課教室)、雲平樓B1(會議室B、藏修坊、息遊坊及公共空間)、各社團辦公室,雲平樓暫不開放校外人士進出使用,造成不便敬請見諒。

2.開放期間:113年8月1日至114年1月31日

3.開放時間:週一至週日8時至22時 (寒暑假期間開放時間調整為:週一至週五8時至17時)

三、社團辦公室開放時間如下:

週一至週日:上午8時00分至晚間23時30分 (寒暑假期間開放時間調整為:週一至週五8時至17時)

★如發現未經同意擅自逗留或使用場地者,違規者依本組辦法處理!

 

四、申請課外活動需遵照借用流程辦理,繳交以下文件:

1.課外活動申請表(請登入學務資訊系統→校內外活動申請→活動/場地申請→社團活動申請狀態→列印)

2.活動企劃書(範本如附件,請自行下載修改填寫)

3.如活動場地涉及收費須繳費,請等候本組通知,將繳費單至本校出納組(行政大樓2樓)完成繳費後、並將繳費證明紙本主動投遞至課外組收件信箱,以利後續借用流程辦理,並確認已完成場地核准後再行公告活動內容,如企劃書發現有偽造或欺騙行為經確認屬實將依校規懲處。

★如舉辦校外活動需額外繳交以下資料:

1.旅行平安保險文件(影本)

2.租用合法遊覽車合約書(課外活動組網頁→表格下載→其他表單)

3.校外活動注意事項切結書(課外活動組網頁→表格下載→其他表單)

 

1. Application Notes:

  1. If student organizations or department associations wish to use venues managed by the Extracurricular Activities Group for events, the president of the organization or department head should log in to the Student Affairs Information System to process the application.

  2. For large-scale events requiring venue use for more than 3 consecutive days or events that have been planned in advance, please submit the venue application form and event proposal (2 printed copies as per the attachment) to the Extracurricular Group for venue reservation at least 3 months before the event. Applications submitted after this period will be handled according to the system’s scheduling.

  3. Units that do not submit their event application at least 3 months before the event will be considered to have forfeited their reservation rights, and the venue application will be processed according to the group’s application procedures.

  4. For activities held in venues not managed by the Extracurricular Group, first confirm the venue’s usage status. After confirmation, proceed to apply through the Student Affairs Information System.

2. Public Spaces and Fee-Based Venues, Application Details:

  1. Online System Booking: The venues managed by the Extracurricular Activities Group in Yunping Building will undergo renovation from December 24, 2022, to May 30, 2024 (currently pending project inspection). During this period, only some of the Extracurricular Group's venues will be available as follows:

    • Round Hall 3F: Round Hall 302, Round Hall 303
    • Huishen Hall B1: South Hall, North Hall
    • Small Auditorium
    • Yunping Building: Grass Plaza, Yunping Building F2, F6, F10 (classrooms), Yunping Building B1 (Cangxi Workshop, Xiyou Workshop, and public spaces), and various student organization offices. Yunping Building will not be open to external individuals; we apologize for any inconvenience caused.
  2. Open Period: August 1, 2024, to January 31, 2025

  3. Open Hours: Monday to Sunday from 8 AM to 10 PM (During winter and summer vacations, hours are adjusted to Monday to Friday from 8 AM to 5 PM)

  4. For details on venue availability and application procedures, please refer to the announcements on our group’s website.

3. Student Organization Office Hours:

Monday to Sunday: 8:00 AM to 11:30 PM (During winter and summer vacations, hours are adjusted to Monday to Friday from 8 AM to 5 PM)

★ Any unauthorized presence or use of the venue will be dealt with according to the group’s regulations.

4. Application for Extracurricular Activities:

  1. Extracurricular Activity Application Form (Please log in to the Student Affairs Information System → Internal and External Activity Applications → Activity/Venue Application → Student Organization Activity Application Status → Print)

  2. Event Proposal (Template available as attachment; please download, modify, and fill in as needed)

  3. If the event venue involves fees, please wait for our notification. After paying the fee at the school cashier office (Administrative Building, 2nd floor), submit the payment proof to the Extracurricular Group’s mail slot to facilitate the subsequent application process. Confirm venue approval before announcing event details. Any fraudulent or deceptive behavior discovered in the proposal will be dealt with according to school regulations.

★ For off-campus events, please additionally submit the following:

  1. Travel Safety Insurance Document (copy)

  2. Contract for Renting Legal Tour Bus (Available on the Extracurricular Activities Group website → Form Downloads → Other Forms)

  3. Off-Campus Activity Precautions Agreement (Available on the Extracurricular Activities Group website → Form Downloads → Other Forms)
